MICRO/ELOPEMENT WEDDING PLANNING SERVICES AGREEMENT

INTRODUCTION
The Company refers to Lexi Rabelo contractors or subcontractors, employees, or lessees. Any provision of this agreement that is held invalid or unenforceable shall not affect the remaining provisions of this agreement. 

All other provisions shall remain valid and enforceable, while any invalid or severed provisions will be renegotiated and brought into compliance with applicable laws. 

By signing this agreement, you confirm you have read and fully understand all terms of this agreement.

 

 

AGREEMENT
This agreement will be in force immediately upon signing, and the Client will make all necessary payments no later than one month prior to the event. A non-refundable retainer fee of $1,000 is required upon booking. This retainer secures your event date and compensates the Vendor for turning down other projects. 

The remaining balance must be paid 30 days before the event. Failure to do so will result in forfeiture of the retainer and cancellation of services.

If the event date is rescheduled, the Company will charge a $500 rescheduling fee. The new event date must occur within the same calendar year; otherwise, new pricing may apply. 

A new contract will be created for the rescheduled date. If the Company is unavailable for the new date, no refunds will be issued. However, if the Company cannot perform services due to its own fault, a full refund will be provided to the Client.

 

SCOPE OF SERVICES
Vendor will provide micro wedding planning services for the Client’s event, including but not limited to: Vendor Management, Planning, Coordination, Etc.

 

Any additional services requested outside of this scope will incur additional charges.

 

RIGHTS
Client guarantees they have the necessary rights and permissions for any materials provided to the Vendor. The Company reserves the right to use photos, videos, and other event content for promotional purposes. The Client agrees to indemnify and hold the Company harmless from any claims arising from third-party rights violations.

 

LIABILITY
The Company will exercise reasonable care in planning and executing the Client’s wedding. However, the Company is not responsible for issues beyond its control, such as vendor non-performance or natural disasters. If the lead planner is unavailable due to an emergency, a qualified substitute will be provided.

 

EXCLUSIVITY
Client agrees that the Company will be the sole wedding planner for the event, and no other event coordinators will be hired without prior agreement. Vendor's recommendations for other service providers (e.g., caterers, photographers) are optional but suggested for smooth event execution.

 

HEALTH & SAFETY
The Company complies with all relevant health and safety regulations. The Company will not perform services in unsafe conditions, including but not limited to areas impacted by extreme weather, pandemics, or other public health risks.

 

TRAVEL / PARKING FEES
For events outside the Vendor's local area (Orlando, FL), travel expenses (flights, car rentals, accommodations) will be billed to the Client. Any parking fees incurred by the Vendor for the event will also be billed to the Client.

 

OVERTIME CHARGES
If the event requires services beyond the contracted time, overtime will be billed at a rate of $300 per hour. Additional planning sessions outside the agreed-upon number will also incur extra charges at the same rate.

 

MEALS & WORKING CONDITIONS
If the Vendor's on-site work exceeds four hours, the Client agrees to provide meals for the planning team. In cases of extreme weather or hazardous conditions, the Client agrees to provide a safe environment for the planning team and event setup.

 

CANCELLATION POLICY
The retainer fee is non-refundable, regardless of cancellation date.

If the event is canceled, the Client is responsible for payment of services already rendered up to the date of cancellation. This includes vendor management, planning, and coordination efforts, minus the wedding day coordination.

If cancellation occurs within 14 days of the event, the Client is responsible for the full remaining balance.

 

VENDOR AND CLIENT OBLIGATIONS
The Client is responsible for securing permits, admission, vendor insurance, and permissions necessary for the event. Any damage to the Company's equipment or loss caused by event guests is the responsibility of the Client.

 

FORCE MAJEURE
Neither party will be held liable for failure to perform its obligations due to unforeseeable events (Force Majeure), including natural disasters (including hurricanes and tornadoes), pandemics, government actions, or civil unrest. Both parties will make reasonable efforts to mitigate the impact of such events. If the Force Majeure event continues for [number] days, either party may terminate the agreement.

 

LATE PAYMENTS
If payment is not received by the due date, a late fee of 5% of the outstanding balance per day will be applied until the balance is paid in full.

 

SEVERABILITY
If any provision of this contract is found invalid or unenforceable, the remaining provisions will remain in effect. Both parties agree to negotiate any invalid provision to bring it into legal compliance.
